Why it matters

Tool sprawl is a tax
on everything you do.

Most marketing teams don't have a strategy problem. They have a systems problem. Too many tools that don't talk to each other. Processes that exist only in people's heads. A CRM no one trusts. When the infrastructure is broken, even great strategy doesn't execute well. We fix the infrastructure.

What's included

Four systems.
One functioning stack.

01

Tech Stack Audit

A full map of what you're running, what it's costing you, where the gaps are, and where you're paying for overlap. Most teams are using 15+ tools and only getting value from half of them.

  • Current tool inventory & cost analysis
  • Gap & redundancy identification
  • Recommended stack architecture
  • Tool consolidation roadmap

02

CRM Setup & Optimization

A CRM that's actually used is worth its weight in gold. One that's misconfigured or ignored is just overhead. We set up or optimize your CRM to match your actual sales and marketing process — not a generic template.

  • CRM architecture & pipeline setup
  • Contact segmentation & tagging
  • Automation rules & workflows
  • Reporting dashboards

03

Workflow Documentation

Repeatable processes written down and accessible. Content calendars, approval workflows, campaign launch checklists, onboarding flows — documented so your team doesn't have to reinvent them every time.

  • Core process documentation
  • Campaign & project templates
  • Approval & review workflows
  • Onboarding runbooks

04

Tool Integration & Automation

Connecting the tools you have so data flows where it needs to go without manual transfer. CRM to email platform. Form to CRM. Project management to Slack. The glue that makes the stack actually work.

  • Cross-tool integration setup
  • Data sync & pipeline configuration
  • Trigger-based automation flows
  • Testing & quality assurance

Who we work with

Teams that have outgrown
their current systems.

Teams That Have Grown Faster Than Their Systems

You hired people, bought tools, and built processes on the fly. Now nothing talks to each other and everyone has their own way of doing things. We bring order without slowing you down.

New Marketing Leaders

You've inherited a stack you didn't build, processes that aren't documented, and a team that does things differently from each other. A tech and workflow audit is often the first and most valuable thing a new CMO or marketing director does.

Companies Scaling Into New Channels

Adding a new channel — paid, email, content, social — requires new workflows and often new tools. We scope, select, and set it up so the expansion doesn't create more chaos.

Our approach

Built for how you work.
Not how the vendor says to.

Audit

Understand what you actually have

Before we recommend anything, we map the current state — tools, costs, processes, and where things break down.

Design

Build for how you actually work

Systems fail when they're designed for an idealized process instead of the real one. We design around your actual team and workflow.

Implement

Set it up, not just spec it

We don't hand you a requirements doc and leave. We configure the tools, build the automations, and test everything before handoff.

Train

Make sure it sticks

The best system fails if the team doesn't use it. We train the team and leave documentation so the system outlasts the engagement.

How it works

Five steps from
chaos to clarity.

01

Discovery & Stack Audit

We map everything: every tool, every subscription, every manual process. We identify where work is duplicated, where data gets lost, and where the team is spending time on things that could be automated or systematized.

02

Stack Design & Recommendations

A clear recommendation for what to keep, what to cut, what to add, and how it all connects. We include cost analysis and prioritize changes by impact and effort.

03

CRM & Core Tool Configuration

We configure the core infrastructure: CRM, email platform, project management, and the integrations between them. This is where most implementations fail — we do the actual setup work, not just the spec.

04

Workflow Documentation & Templates

Every key process documented: campaign launch, content calendar, lead routing, onboarding, approval flows. Written in plain language, stored where your team will actually find it.

05

Training & Handoff

Live training sessions for the team, recorded for future onboarding. A support period after go-live to catch issues before they become habits.

Common questions

Straight answers.

What tools do you work with?

CRM: HubSpot, Salesforce, Pipedrive. Project management: Asana, Monday, Notion, ClickUp. Email: Mailchimp, Klaviyo, ActiveCampaign, HubSpot. Integration: Zapier, Make (formerly Integromat), native APIs. We're tool-agnostic — we recommend based on your needs and budget, not commissions.

Do we have to switch our CRM?

Usually not. Most CRM problems aren't the tool — they're the configuration. We can usually get significantly more value from the CRM you already have before recommending a switch.

How do you handle a team that resists new processes?

Resistance is usually a sign that the old process was either undocumented or genuinely worse than what people were doing on their own. We design workflows that solve real problems, and we involve the team in the design so they're building something they'll actually use.

What's the difference between this and hiring a CRM admin?

A CRM admin manages the tool. We design the system — the strategy, the architecture, the workflow, the integration layer — and then configure it. It's more strategic than admin work, and typically done as a project rather than ongoing.

Can you work with our existing agency or in-house team?

Yes. We often run alongside in-house marketing teams or other agencies. We scope our work clearly so there's no overlap or confusion about who owns what.

What does implementation cost?

Engagements are scoped based on stack complexity and the number of tools and workflows involved. A focused CRM optimization runs differently than a full stack audit and rebuild. We quote after a discovery call so we're not guessing at scope.
