Why it matters

Most CRMs are set up.
Almost none actually work.

A CRM that nobody uses is worse than no CRM at all — it creates a false sense of organization while leads die quietly in the pipeline. The problem is almost never the platform. It's the configuration, the automation gaps, and the lack of adoption. We fix all three.

What's included

Audit to optimization.
Everything in between.

01

CRM Audit

A full diagnosis of your current CRM: data quality, pipeline structure, automation health, adoption rate, and where leads are falling out of the system. Most CRM problems are diagnosable in a few hours once you know where to look.

  • Data quality & duplicate assessment
  • Pipeline stage review
  • Automation & workflow audit
  • Adoption & usage analysis
  • Integration health check

02

Pipeline Structure & Configuration

A pipeline built around how your sales process actually works — not a default template. We define stages, entry criteria, exit criteria, and the activities that move deals forward, then configure the CRM to match.

  • Sales process mapping
  • Pipeline stage definition
  • Deal properties & required fields
  • Lead scoring setup
  • Custom reporting views

03

Automation & Integration

The workflows that eliminate manual handoffs: lead routing, follow-up sequences, task creation, stage-based alerts, and the integrations that connect the CRM to your marketing tools, website, and email platform.

  • Lead routing & assignment rules
  • Follow-up sequence automation
  • Task & reminder automation
  • Marketing platform integration
  • Form-to-CRM connection

04

Team Training & Ongoing Optimization

A CRM only works if the team uses it — and the team only uses it if they know how and trust that it helps them. We train the team and continue optimizing based on how they're actually working.

  • Role-based training sessions
  • Quick reference documentation
  • Adoption monitoring & coaching
  • Monthly optimization review
  • New feature rollout support

Who we work with

For teams where the CRM
isn't doing its job.

Teams with a CRM Nobody Uses

You bought HubSpot or Salesforce. You had someone set it up. Now your team logs deals in a spreadsheet and checks the CRM when they have to. We fix the CRM so people actually want to use it.

Sales & Marketing Teams That Aren't Aligned

Marketing is generating leads. Sales says they're not qualified. The CRM data doesn't tell you who's right. We build the shared pipeline and attribution model that aligns both teams around the same truth.

Companies Scaling Their Sales Motion

You're adding reps, adding channels, adding markets. The CRM that worked for a 2-person sales team won't work for a 15-person team. We scale the architecture before it breaks.

Our approach

Diagnose. Rebuild.
Automate. Adopt.

Diagnose

Find why it's not working

CRM failures are usually structural — bad pipeline design, missing automation, or a configuration that doesn't match the actual sales process. We find the root cause first.

Rebuild

Design for the real process

We map the actual sales motion and rebuild the CRM around it — not the other way around. The tool serves the team, not vice versa.

Automate

Remove the manual work

Every manual handoff is a place where things fall through the cracks. We automate the routine so reps can focus on the work that needs a human.

Adopt

Make sure the team uses it

Configuration without adoption is just an expensive database. Training, documentation, and ongoing support make the system stick.

How it works

Five steps from broken
to actually working.

01

CRM Audit & Discovery

We pull the data, review the configuration, interview the users, and map where leads are going to die. This takes a few days and produces a clear picture of what's working, what's not, and what it's costing you.

02

Pipeline Architecture & Design

We redesign the pipeline structure around your actual sales process — stage definitions, entry/exit criteria, required activities, deal properties. We sign off with you before we build anything.

03

Configuration & Automation Build

We reconfigure the CRM, build the automations, connect the integrations, and clean the data. This is the hands-on work that transforms the audit into a working system.

04

Team Training & Rollout

Role-based training for reps, managers, and admins. We provide quick reference documentation and monitor adoption in the first few weeks to catch confusion before it becomes habit.

05

Ongoing Optimization

Monthly review of pipeline health, automation performance, and adoption data. CRMs need maintenance — we stay involved so the system doesn't drift back to where it started.

Common questions

Straight answers.

What CRMs do you work with?

HubSpot (our most common), Salesforce, Pipedrive, and Monday CRM. For most growth-stage businesses, HubSpot hits the sweet spot of capability and usability. We're honest about this — we'll tell you if your current CRM is the right tool or if a switch makes sense.

Do we need to switch CRMs?

Usually not. Most CRM problems are configuration problems, not platform problems. We can almost always get significantly more value from the CRM you already have before recommending a migration.

How long does a CRM optimization project take?

A focused audit and rebuild typically runs 4–8 weeks depending on CRM complexity and the number of integrations. Ongoing optimization is a monthly engagement after that.

What do we need to provide?

Admin access to the CRM, a sales process walkthrough with a rep and a manager, and time from the team lead during the training phase. We handle the rest.

How do you handle data migration?

If a platform switch is involved, we scope data migration separately — it's complex and the quality of the existing data matters a lot. We do a data audit before making any migration recommendation.

What's the difference between this and what our CRM vendor provides?

Vendor support helps you use the tool. We redesign the system around your process. It's strategic and implementation work — not technical support.
